How it works
Intake is by email
Every location is issued a unique email address. Any document sent to that address is stored against that location. Vendors require no account and no software, because the report is already sent by email. Binder provides a destination for it.
Each address includes a random suffix, so it cannot be derived from a business name. The first time an unrecognised sender writes in, the document is held for review rather than filed. Without that step, anyone who learned the address could insert a fabricated report into the record.
Extraction is proposed, not applied
Binder extracts the service type, the date the work was performed, and any next due date printed on the document. Those values are presented alongside the document for confirmation.
The confirmation step is deliberate. A date misread from a scanned document, for example an ambiguous 03/04/2026, would silently move a deadline. No value is recorded until a person confirms it, and Binder records who confirmed it and when.
Notification
One message each morning listing anything due in 30, 14 or 3 days, anything due that day, and anything the record shows as past due. Dates are evaluated in each location's own timezone.
Producing records on request
Create a read only link for a single location and send it to an inspector, an insurer, or a franchisor. The link expires on a date you choose, can be revoked, and records each time it is opened. The recipient does not need an account.
Scope of the service
Binder stores and organises records and reports what those records show. It does not inspect, test, or certify equipment, and it does not determine compliance. Service intervals shown in the product are defaults drawn from published standards and are cited as such. The intervals that apply to your premises are set by your authority having jurisdiction.
